Privacy Policy

Last updated: May 28, 2026. WhatBots.io is operated by Pembarthi Sadhana (“we”, “us”, “our”).

This policy describes how we collect, use, store, and share information when you use the WhatBots.io website and service (the “Service”), including when you connect the WhatsApp Business Platform / Meta technologies. It is intended to meet transparency requirements for Meta app review, Business Manager verification, and WhatsApp Cloud API use.

1. Who this applies to

We process information about workspace administrators and team members who register and use our dashboard. We also process information necessary to deliver messaging when your workspace is connected to WhatsApp via the Cloud API.

People who only message a customer business on WhatsApp should contact that business for privacy questions about their chat; that business is usually the data controller for end-customer messages. They may also have rights under WhatsApp’s policies and Meta’s terms.

2. Information we collect

  • Account data: name, email, password (hashed), workspace name, role, and sign-in logs.
  • Usage and content: conversation metadata, message content you send or receive through the Service, contact identifiers (e.g. WhatsApp user IDs / phone numbers as provided by the API), flow and template configuration, and team actions in the dashboard.
  • Technical data: IP address, browser type, device information, server logs, and cookies or similar technologies used for security, sessions, and basic analytics.
  • WhatsApp / Meta Platform Data: when you connect the WhatsApp Cloud API, we receive and process data Meta makes available to your app, such as message payloads, delivery status, phone number IDs, WhatsApp Business Account IDs, and related metadata, only as needed to operate the Service and as permitted by Meta’s Platform Terms.

3. How we use information

  • Provide, maintain, secure, and improve the Service.
  • Authenticate users, operate workspaces, routing, automation, and live chat.
  • Detect abuse, fraud, and security issues.
  • Comply with law, respond to lawful requests, and enforce our Terms.

4. Legal bases (where applicable)

Depending on your region, we rely on contract performance, legitimate interests (e.g. securing the Service), consent where required, and legal obligation.

5. Sharing and subprocessors

We use hosting and infrastructure providers (e.g. cloud servers, databases) to run the Service. We do not sell your personal information.

We may disclose information if required by law or to protect rights and safety. Meta processes WhatsApp-related data under its own terms and policies when you use their APIs; we share data with Meta only as directed by your integration (e.g. sending messages via the Cloud API).

6. Retention

We keep data while your account is active and as needed for the purposes above, unless a longer period is required by law. Backups may persist for a limited time after deletion.

7. How to request deletion of your data

Meta requires that we delete Platform Data when you request it and that we explain how to submit a request. You can request deletion as follows:

  1. Read our dedicated Data deletion instructions page (this is the URL you may enter in the Meta Developer App as “User data deletion” / data deletion instructions).
  2. Email whatbotsio@gmail.com from the email registered on your account with subject “Data deletion request”, your workspace name, and the account email to delete.

We will verify identity where reasonable and delete or anonymize personal data we control, subject to legal retention obligations. Deletion in WhatBots.io does not remove all copies Meta may hold; see Meta’s documentation for WhatsApp user options.

8. Security

We use industry-standard measures such as HTTPS for data in transit and access controls for production systems. No method of transmission or storage is 100% secure.

9. Cookies

We use essential cookies and similar technologies for login sessions, security (e.g. CSRF protection), and basic site functionality. We do not use cookies for third-party advertising on the marketing site.

10. International transfers

Your data may be processed in India and in countries where we or our providers operate (e.g. cloud regions). We take steps consistent with applicable law.

11. Your rights

Depending on where you live (including India’s Digital Personal Data Protection Act where applicable), you may have rights to access, correct, delete, restrict, or object to processing, and to lodge a complaint with a supervisory authority.

12. Children

The Service is not directed at children under 16 (or the age required in your jurisdiction).

13. Changes

We may update this policy. We will post the new version on this page and adjust the “Last updated” date.
